The short version: we collect the minimum needed to run the service, we don't sell data, and on Sovereign deployments your content never leaves your own cloud.

Working draft. This document is pending formal legal review ahead of general availability. It reflects how we actually operate today, but wording may change once counsel signs off.

1. Who we are

Otopic ("we", "us") provides an AI-native collaboration workspace. We are based in Amsterdam, the Netherlands, and act as the data controller for the marketing site and the hosted service. For Sovereign (bring-your-own-cloud) deployments, the customer is the controller and Otopic acts as a processor.

2. What we collect

  • Waitlist and contact data — email address and optional company name when you join the waitlist or contact us.
  • Account data (hosted service) — name, email, and workspace membership.
  • Workspace content — the notes, chat, tasks, and decisions your team creates. This is your data; we process it only to provide the service.
  • Usage data — consent-gated analytics on the marketing site (see Cookies).

3. How we use it

To provide and improve the service, respond to your requests, and — for the waitlist — to contact you about early access. We do not sell personal data and we do not use your workspace content for advertising.

4. AI processing

AI features process workspace content to draft updates, summarize, and answer questions inside your workspace. We do not train AI models on customer content, and our AI providers are bound by commercial terms that prohibit training on it.

5. Sovereign deployments

On the Sovereign tier, Otopic is deployed into the customer's own AWS organization. Workspace content stays inside the customer's cloud boundary and, where deployed per-region, inside the chosen jurisdiction. Sovereignty is architectural: the data never transits Otopic-operated infrastructure.

6. Cookies & analytics

The marketing site uses consent-gated analytics. In the EEA, UK, and Switzerland, analytics cookies are off until you accept them; declining keeps them off. No advertising cookies are used.

7. Your rights

Under the GDPR you can request access, correction, deletion, restriction, or portability of your personal data, and object to processing. Write to us and we will respond within the statutory period. You can also lodge a complaint with your supervisory authority.
